Password Expiration

How to get here

The Password Expiration page allows the System Administrator to maintain separate Password Expiration settings at the domain level. This gives the IMail Administrator capability to control the following settings at the domain level:

• Enable or disable user password expiration for all users within a domain.
• Control the number of days for user password expiration for all users within a domain.
• Customize the email reminders to users when their password is near expiration.

Note: To disable a specific user to never expire go to the User Properties page and check the new User's Options "Password Never Expires".

Warning: IMail Collaboration (WorkgroupShare) database currently does not have the Password Expiration feature implemented. The IMail Collaboration Client that installs as a plug-in for Outlook is not affected by the Password Expiration. The IMail Collaboration password will update when the IMail password is reset.

Tip: Password Expiration feature cannot be implemented with NT/Active Directory user directory setup.

Domain: Shows the current selected domain. From the drop down you can pick any of the domains available to this administrative user account.

Password Expiration

• Enable User Password Expiration. By default the User Password Expiration is disabled. Enable this feature to control user's within the specified domain to change their passwords every "X" days.

  Warning: Users with Change Password disabled will in effect force Password Never Expires to be enabled. It is recommended to use the multi-edit user feature in the Console Administrator to correct this issue.

  • Days Until Expiration. Set to 90 by default. This number controls the frequency in days how often the user's password must be changed.
  • Days Before Expiration to Send Initial Reminder. Set to 15 by default. This setting will send out the first reminder when the user's password expiration matches this setting. Setting this value to zero will disable this message from being sent.
  • Days Before Expiration to Send Secondary Reminder. Set to 2 by default. This setting will send out the second reminder when the user's password expiration matches this setting. Setting this value to zero will disable this message from being sent.

    Note: Setting the above reminders to zero will disable reminders from being sent. When a user's password expires the Web Client will automatically force the user to change their password upon login.

Reminder Email

The reminder notification email is the message that is sent to users when their password is near expiration due to a password change requirement. The token "{0}" can be inserted in either the body or the subject and will be replaced with the date timestamp of the user's password expiration. User's will require access to the Web Client to change their password, so be sure that all users have Web Access enabled.

Note:

• Unchecking "Enable Password Change"
  • Enables "Password Never Expires" and
  • Disables "Require Password Change in Web Client".

Tip: Be sure to update both the HTML and Plain Text message bodies, as some email clients cannot display HTML which then will display the plain text message.

Enter a reminder message for both HTML and Plain Text. The message reminder that is generated will contain both body parts. Depending on the email client, the HTML message part will display if capable, otherwise the plain text portion will display.

Currently the default message is as follows:

Your password is set to expire at {0}. To update your password, please log into the web client and select Action > Change Password prior to {0}. If you do not have access to or know how to access the web client please contact your network administrator.

The token will "{0}" be replaced with the date timestamp of the users password expiration.

• Encoding. Set the character set to use when sending out the reminder.
  • Unicode (UTF-8).  Choose this character set for multi-language mail. In IMail, this includes English, Chinese Simplified, Chinese Traditional, French, German, Italian, Japanese, or Spanish.  
  • English (US-ASCII). For composing e-mail for English-speaking readers, based on the English alphabet.
  • Western European (ISO-8859-15). For composing e-mail in French, Italian, German, or Spanish.
  • Chinese Traditional (BIG5). For composing e-mail in traditional Chinese.
  • Chinese Simplified (GB2312). For composing e-mail in simplified Chinese.
  • Japanese (ISO-2022-JP). For composing e-mail in Japanese.

• Subject. Enter the subject information necessary to notify a user of an upcoming password expiration. The token "{0}" can be inserted and will be replaced with the number of days the user's password is still valid, before a password change is required.
• HTML Body. Enter the HTML detail information necessary to notify a user of their upcoming password expiration. The token "{0}" can be used and will be replaced with the number of days the user's password is still valid, before a password change is required.

  Note: The online HTML WYSIWYG editor is the same editor used in the web client when creating new messages.

• Plain Text Body. Enter the Plain Text detail information necessary to notify a user of their upcoming password expiration. The token "{0}" can be used and will be replaced with the number of days the user's password is still valid, before a password change is required. The plain text will only be used when the mail client being used has no HTML display capability.
